WolfieAssist Privacy Policy
This policy covers the WolfieAssist app for iPad and iPhone (including Standalone Mode S, Demo Mode S, LAN Client Mode C, and sync Mode A) and this migration portal at migrate.wolfiepims.net. Published by WolfiePIMS Software (Ben Weiss). It is separate from the Mac product privacy policy at wolfiepims.com/privacy.html.

Summary
How the app modes store data
- Mode S (Standalone) — practice data lives in a local database on the device (with iOS backup according to your device settings).
- Mode S Demo — sample data in a separate demo database so exploring Demo does not mix with a live Standalone practice.
- Mode C (LAN Client) — the app connects to your practice’s WolfiePIMS server. Records live on that server; the iPad is a client.
- Mode A (WolfieAssist sync) — the app syncs with a Mac on the same Wi‑Fi using peer connectivity. The Mac remains the system of record for synced data.
Data on this device
Depending on mode and settings, the app may store clients, patients, appointments, invoices, inventory, SOAP notes, photos, staff preferences, connection settings, and similar practice records on the device. Optional on-device speech features (for example Whisper-based dictation) process audio on the device for transcription; we do not send that audio to WolfiePIMS Software for advertising.
Permissions the app may request
- Local network — to find or talk to the practice Mac (Mode A / Mode C on LAN).
- Camera / photo library — patient photos, clinical images, barcodes, migration QR codes.
- Microphone / speech recognition — dictation into notes and labels when you use those features.
- Location — map centering and stray-match style geographic features when you use them.
- Face ID / Touch ID — optional staff unlock when you enable it (not required for Demo review).
You can deny a permission; related features simply won’t work until you allow them in iOS Settings.
Network connections
- Clinic LAN — Mode C may use HTTP on your local network to the practice computer (port used by your clinic setup).
- Remote clinic access — when your practice publishes a tunnel URL, the iPad uses HTTPS to that hostname; TLS is terminated by the tunnel and forwarded to the practice server.
- Migration portal — HTTPS to migrate.wolfiepims.net for pairing and pack transfer.
- Optional lab / SMS / support features — only when configured (for example IDEXX credentials you enter, Twilio, or support channels your practice enables).
Migration portal uploads
- Uploads are stored encrypted in Cloudflare R2 for at most 48 hours.
- WolfieAssist deletes its copy from our storage when it acknowledges the apply.
- We do not publish, index, or forward the raw source pack.
- The pairing code binds an upload to a device and expires in about 15 minutes.
- This portal does not use third-party analytics.
Payments
In-app card charging through third-party processors (for example Square or Stripe) is only available when that processor is enabled in a given build and you enter your own merchant credentials. Card data is handled by the processor’s SDK under their terms; WolfiePIMS Software does not receive full card numbers for advertising. Cash, check, trade, and deferred ledger entries stay in your practice data.
Analytics and advertising
WolfieAssist does not include third-party advertising SDKs and does not use the App Tracking Transparency advertising identifier for ads. Diagnostic or support information you choose to send (for example a support report) is used only to help your practice.
Children
WolfieAssist is a professional veterinary practice tool, not directed at children under 13.
